School Parental Notice (FERPA)

This notice is for parents and guardians of a student whose school district has set up ReviSports for its athletic programs (a “school workspace”). It explains what is collected, how it is used, and your rights under FERPA. It is different from the consumer Parental Consent Disclosure, which describes what applies when a family adds a child under 13 on its own. In a school workspace, the district's signed Data Privacy Agreement is the basis for your child's participation.

1. Who is responsible for your child's information

Your child's school district (the “LEA”) is responsible for and controls your child's education records. ReviSports Inc. acts only as a “School Official” under FERPA (34 CFR 99.31(a)(1)(i)(B)): we handle the data under the district's direction, use it only to provide the district's athletic-program services, and do not redisclose it except as the district directs or the law requires.

Because the district provisions the account under the FERPA school-official exception, the district's signed Data Privacy Agreement is the basis for onboarding. You do not sign anything for the school workspace.

2. What is collected about your child

In a school workspace, ReviSports collects or creates the information the district's athletic programs need, which may include:

  • Identity and profile: name, date of birth, a display username, profile photo, and bio.
  • Athletic profile: jersey number, position, class year, height, weight, school, and where the program uses them, sport identifiers (such as a USA Swimming or AAU number).
  • Account and sign-in: the district-issued email and sign-in information.
  • Athletic content: game film, highlights, statistics, and per-play breakdown.
  • Team communications: team posts, comments, channel messages, and direct-message records.
  • Participation and relationships: schedules, RSVPs, and the link between your child and you as guardian.

The full field-by-field list, with each item's purpose and retention, is the Schedule of Data attached to your district's Data Privacy Agreement.

3. What it is used for

We use the information only to provide and secure the services the district engaged us for: running rosters and teams, storing and reviewing film, tracking statistics, scheduling, and team communication. We process it under the district's direction and the Data Privacy Agreement, and for nothing else.

4. Your FERPA rights

Under FERPA, as the parent or guardian you have the right to:

  • Inspect and review your child's education records.
  • Request amendment of records you believe are inaccurate or misleading.
  • Consent to disclosures of personally identifiable information, except where FERPA allows disclosure without consent (such as to a School Official like ReviSports).
  • File a complaint with the U.S. Department of Education about an alleged failure to comply with FERPA.

Because the district controls the records, you exercise these rights through your school district. ReviSports supports the district in fulfilling your requests.

5. Directory information

FERPA lets a district designate certain information as “directory information” that may be shared without consent unless you opt out, such as a student's name, image, and participation in athletics at public events. Your district decides what it designates as directory information and provides the opt-out process; that decision and process belong to the district, not to ReviSports.

If you opt out of directory-information sharing for your child, honoring that opt-out for anything the school chooses to publish is the school's responsibility as the publisher. ReviSports provides the district with controls to restrict sharing (described in Section 7), but does not independently decide directory-information status and does not auto-blur or auto-exclude content.

6. What ReviSports will never do with school data

  • No advertising. A school workspace is ad-free. We never serve advertising in it and never use your child's data to target ads.
  • No sale. We do not sell, rent, trade, or otherwise commercialize your child's data.
  • No public exposure. A school-only account is not publicly discoverable, and posts in the school workspace reach only the team, parents, and staff, never the public.

7. Film and your child's image

Coaches capture and review game film as a normal part of athletic programs. Game film of public competition is generally shareable for legitimate coaching and recruiting purposes, and a single-student highlight is generally the student's own to share. Your district holds controls that only ever restrict sharing: a district-wide switch to restrict public sharing of school footage, a per-clip lock that holds a specific clip back, and a switch to turn coach-to-coach film trading on or off.

When a coach trades film to another school for scouting, the receiving coach can watch it and add their own private notes only; they cannot extract highlights from it, publish it, or trade it onward. Those rights stay with your child's own team. School film is never shared into the consumer product or to another district.

Model training. Where your district authorizes it in the signed Data Privacy Agreement, ReviSports also uses school game film to train and improve our athletic-analysis models. These models stay on ReviSports' own systems and are never sold, licensed, or transferred to any third party, except to a successor if the company is sold, which stays bound by the same terms. If your district later instructs deletion, we remove your child's film from our systems, but a model already trained under the agreement cannot be untrained.

8. Communication with your child

An outside party, such as a college recruiter, cannot directly message your child through the school workspace. The attempt is routed to a school approver first (by default a district administrator, which the district may delegate to a coach or athletic director). Whether a parent or guardian is also required to approve is a setting your district controls. Once your child turns 18, they control their own communication.

9. Safety

Communications and content involving students may be subject to automated safety filtering and review. If ReviSports becomes aware of apparent child sexual abuse material (CSAM), we report it to the National Center for Missing and Exploited Children (NCMEC) as required by federal law (18 U.S.C. 2258A) and cooperate with the district and law enforcement.

10. When your child turns 18

Under FERPA, when a student turns 18 (or enters a postsecondary institution), the rights described in Section 4 transfer from the parent or guardian to the student, who becomes an “eligible student.” From that point, the student exercises those rights and controls their own communication and records, through the district.

11. Retention and deletion

School-workspace data is kept and deleted on the district's instruction under the Data Privacy Agreement, not under the consumer retention schedule. When the district instructs deletion of your child's records, ReviSports deletes the login account and removes the personally identifying details from the athlete record, keeps the required consent / verification record for a minimum of 7 years, keeps the security audit trail, and cleans up stored media on a best-effort basis. If a legal or safety matter requires preservation, the affected records are held until that matter is resolved.

A request to delete your child's records is made through your school district, which instructs ReviSports as the controller.

12. How this differs from the consumer product

If your family also uses ReviSports on its own (outside the school), that personal account is governed by the consumer Privacy Policy, Terms of Service, and Parental Consent Disclosure, not by this notice or the district's agreement. The personal account and the school account are kept separate, and data does not move between them.
